How to choose an FF&E procurement partner: eight questions to ask

Choose an FF&E partner on evidence, not brochures: delivered projects at your scale and brand tier, named operator and designer relationships, factory inspection practice you can audit, in-house logistics and installation capability, and single-point accountability from bill of quantities to handover.

The eight questions

Put these to every shortlisted firm, and ask for evidence with each answer:

  • Which comparable projects have you delivered — at this key count and brand tier?
  • Which operators’ brand standards have you procured against, and who signed off?
  • How do you inspect production — in-line and pre-shipment — and can we see reports?
  • Who handles freight, customs and warehousing: your team or subcontractors?
  • Do your own supervised teams install, and under what H&S system?
  • How do you run value engineering without eroding the design?
  • What does your reporting look like — budget, orders, production, logistics — and how often?
  • Where does your responsibility end: at delivery, or at signed handover?

Red flags

A furniture trader quotes products; a procurement partner owns outcomes. Be wary of quotes that exclude logistics and installation, references that cannot be called, inspection “on request”, and any answer to the accountability question that ends at the port.
